When CMMS is not enough

Key takeaways
What to remember
- A CMMS excels at planning and closing maintenance work — that is necessary, not sufficient.
- Finance and audit still need custody, cost, and verification on the same asset identity.
- Teams outgrow CMMS-only stacks when lifecycle questions keep escaping the work-order system.
Maintenance work orders solve one layer. Finance, audit, and custody need a broader operating model.
What a CMMS is built to do
Computerized maintenance management systems are optimized for work: schedules, priorities, assignments, parts, and completion history. That layer matters. Uptime depends on it. The limit appears when leadership asks questions the work-order system was never designed to own — who has custody, what the asset is worth on the books, and whether the physical count matches the ledger.
The gaps that show up in practice
Maintenance closes a job while finance still depreciates a ghost. An audit finds equipment that never entered the CMMS because it was never “maintained.” Field teams move assets between sites and the register stays stale. Those are lifecycle problems sitting next to a maintenance tool — not proof that the CMMS failed at maintenance.
Choosing the broader model
EALM keeps the maintenance discipline and adds the surrounding registry: procure, deploy, custody, finance, audit, and dispose. If your pain is only wrench time, deepen the CMMS. If your pain is cross-team truth about the same asset, you have outgrown maintenance-only coverage.
